Companies
A company is an organisation the agency deals with: a client, a prospect, or neither. Its page gathers its contacts, projects, recent comments, docs and mail domains, and its type decides whether its people can reach its projects.
What you can do
- List companies, search, and filter by Type, Relationship and Contact. Show Active or Archived.
- Record a company: Name, Customer key, Type, Relationship, contact details (Email, Phone, Web), Location (Address, Postal code, City, Country), Default currency, finance details (IBAN, SWIFT, Business ID, Tax ID, VAT) and its Contacts.
- Declare Mail domains, so mail from anyone at the company is recognised as theirs.
- Open a company to see its details, Mail domains with their Source and whether each is Verified, its contacts, its projects with task progress, the latest comments on its tasks, and linked docs.
- Archive a company and restore it.
How to
- Open Companies in the sidebar. The list opens on Active clients: "Default view - dormant companies and suppliers are hidden." Press Show every company to drop the default.
- To add one, press Create, fill Name and the rest, and press Create company.
- Under Mail domains, type a domain such as
acme.example, add more rows as needed, and remove one with Remove domain. - To change a company, open it and press Edit, then Update.
- To archive, use the row's menu and confirm Archive. Choose Archived in the list to find it again and Restore it.
Types:
| Type | Means |
|---|---|
| Client | A customer. Its client contacts can reach its projects. |
| Prospect | Not a customer yet. Its people reach nothing. |
| Neither | Neither client nor prospect, usually a supplier. |
| Internal | The agency's own company. Left out of the list. |
Relationship:
| Relationship | Means |
|---|---|
| Active | Live work, or live conversations. |
| Dormant | A real relationship with nothing current. Their mail still resolves to them. |
| Former | Over. Still listed and still recognised on inbound mail. |
Relationship is separate from archiving. Archived hides a company from the lists; restore it to bring it back.
Client view: a client contact who has a login sees the projects of their client companies, and the docs on those projects that are ticked Visible to the client, under Docs. With no dashboard cards, a client lands on Docs. See Contacts for who counts as a client.
Limits
- Companies need the
view companiespermission, andcreate company, edit company, archive companyandrestore companyto change them. Of the built-in roles only admin holds these; a bot can view. - Customer key: up to 8 characters, unique. Existing project names keep whatever key they were made with.
- A public mailbox domain cannot belong to a company, and a domain belongs to one company only.
- Domains are not checked automatically: a domain shows Unverified until it is proven.
- The company page shows only the projects the viewer can see, and comments from those projects.
- The agency's own company and its mail domains are set in Settings > Workspace > Company.
